Key concepts in Communication

Key Idea: Communication is how information moves through a business. If communication is clear, people understand what to do. If it is poor, mistakes, delays and conflict happen. In exams, this topic is usually about choosing the right method and spotting barriers.

Core structure (memorise)

  • Communication = sending and receiving information
  • Verbal = spoken
  • Written = text or documents
  • Visual = charts, graphs, images
  • Formal = official channels
  • Informal = unofficial channels or the grapevine

📨 Main types: Verbal = quick, immediate feedback. Written = clear record. Visual = easy for data. Digital = fast and flexible.

🔄 Direction of communication: Downward = manager to staff. Upward = staff to manager. Horizontal = same level. External = outside the business.

  • Formal communication is more reliable but often slower
  • Informal communication is faster but can spread rumours
  • The wrong communication method can cause confusion

Do not just name a communication problem. Explain why it causes misunderstanding or delay, and suggest a practical fix.
Example: Written communication can be useful because it creates a permanent record that employees can check later. However, it may be slower than verbal communication and there is no immediate feedback if staff do not understand the message.
Important: Explain one barrier to communication, compare formal and informal communication, explain the best communication method for a situation, or analyse communication problems in remote or international teams.
