The formal letter (la lettera formale): A formal letter (la lettera formale) is a Paper 1 text type you write to someone you don't know or must be respectful to — a manager, a headteacher, a company, a newspaper. It has a fixed layout, a formal register and set opening and closing formulas. Get the conventions right and you bank easy Criterion C marks.

Layout — top to bottom

  • Apertura (opening): «Gentile Direttore,» / «Egregio Signore,» / «Gentile Dottoressa Rossi,» + comma.
  • Scopo (purpose): say WHY you write in the first line — «Le scrivo in merito a…» / «La contatto per…».
  • Corpo (body): one clear idea per paragraph, linked with connectors.
  • Richiesta / conclusione: a polite request or a clear conclusion.
  • Chiusura (closing): a formula «Distinti saluti,» / «Cordiali saluti,» + your name.
Opening (apertura)When to use it
Gentile Direttore,To a named/known role — polite, neutral, very common.
Egregio Signore, / Gentile Signora,To an unknown man / woman — formal.
Gentile Dottoressa Rossi,To a named person with a title — respectful.
Spettabile Direzione,To a company or office (not one person).
Why this matters: The examiner spots a formal letter in seconds from its shape: an opening formula, purpose stated early, and «Distinti saluti,» at the end. Missing these caps your Criterion C (Conceptual understanding) mark, however good your Italian is.

Formal register — always 'Lei': A formal letter uses the courtesy form Lei (third person), never tu. You address the reader with capitalised courtesy pronouns — Le scrivo, La ringrazio, una Sua risposta — and choose polite, complete verb forms. No slang, no abbreviations, no exclamation marks.

Informale (avoid in a formal letter)

  • Ciao! Come va?
  • Ti scrivo per dirti una cosa.
  • Fammi sapere, ok? Un bacio!

Formale (use this)

  • Gentile Direttore,
  • Le scrivo per segnalarLe un problema.
  • Resto in attesa di una Sua risposta.

Ready-made formal phrases

  • Le scrivo in merito a… — I am writing regarding… (state the purpose)
  • La contatto per chiederLe… — I am contacting you to ask you for…
  • Le sarei grato/a se… — I would be grateful to you if…
  • Resto in attesa di una Sua cortese risposta. — I await your kind reply.
  • La ringrazio anticipatamente per l'attenzione. — I thank you in advance for your attention.
Match opening to closing: Keep the register consistent from top to bottom: a «Gentile…,» opening pairs with «Distinti saluti,» or «Cordiali saluti,» — never with an informal «Un bacio» or «A presto». Mixing registers costs Criterion C marks.

IB-style task — una domanda di Paper 2

Una domanda, passo dopo passo

  1. The question — «Perché Marco Bianchi scrive questa lettera al Direttore dell'hotel?»
  2. Find the purpose line. A formal letter states its purpose early: «La contatto quindi per chiederLe un rimborso parziale del soggiorno.»
  3. The answer — Scrive per chiedere un rimborso parziale a causa dei problemi avuti durante il soggiorno.
Reading technique: In a formal letter, the purpose is usually in the first paragraph and the request near the end. For a «secondo il testo» question, quote the exact line that proves your answer — don't rely on general knowledge.
Il compito — your task: Sei il/la rappresentante degli studenti. Scrivi una lettera formale al preside della scuola per proporre l'apertura di una biblioteca aperta anche il pomeriggio, spiegando i vantaggi.

Registro formale (Lei). Scrivi tra le 450 e le 600 parole.

«Gentile Preside,» + comma. Set the formal tone from the first word.
